Introduction on travels to ISS sites
The Executive Committee has decided that people should have the possibility of travelling to ISS sites within IA4. From January 2008 people can apply for funding the travel and lodging costs at the Mobility Centre. Rules for applying will be similar to the rules for normal travels, described in the Evoltree Mobility Evoltree Mobility Plan and the Procedure Proposals Procedure proposals, but they differ on one important point: the coordinator of the ISS (subactivity leader IA2.3, François Lefèvre) has to agree with the submission of the proposal (read: "Proposals on ISS travels" below). This agreement, however, doesn’t mean that the proposal will be granted. After the deadline of a call, all submitted proposals will be sent to an appointed committee for judgment that then decides which proposals will be granted.

There will be special calls for the ISS travel proposals, separate from the ‘normal calls’. The list of deadlines is published in this category of the website.

ISS applicants too have to follow all steps of the instructions (see Procedure in handling submitted proposals and granted travels) in order to have their costs reimbursed.

 
Proposals on ISS travels
Aiming to extend the number of ISS used by on-going projects within EVOLTREE, people can apply for funding for short fieldwork trips to ISS sites. Proposals for travels for visiting ISS sites with a maximum of 5-7 days (max € 1550) per year should be made in dialogue with the ISS coordinator (subactivity leader IA2.3, Francois Lefevre). This call is strictly limited to on-going research projects financed by other IAs or the JERAs, in order to extend the number of ISS used to extend the project (i.e. extension only for ISS not initially included in the project). Partners local to the ISS cannot apply.

Funding fieldtrips for collecting samples is possible for visiting the ISS sites, (see list of ISS) or eventually the complementary ISP sites (according to the list in the deliverable DI2.3). The fieldwork should be part of JERA research as defined in the Description of Work.

The Mobility Centre handles the administration of the ISS fieldwork trips like normal travels. This means that applicants can submit their proposals to the MC three times a year according the call for proposal structure (proposed dates: 1 March, 1 June, 1 October).

Applicants should

  • hand over an agreement from the ISS coordinator (Francois Lefevre, P1b) with the proposal
  • once the agreement is obtained, send the proposal with the agreement to the Mobility Centre
  • keep all bills, receipts and tickets in their own office,
  • hand over a short report and a confirmation host form signed by the local ISS coordinator, at last three months after the trip has ended.

Proposals for fieldwork trips are judged by IA2.3 activity leader Francois Lefevre and IA4 (sub)activity leader Hans Peter Koelewijn. Antoine Kremer is informed by the MC when proposals are submitted to the judging committee.

Reimbursement will be done three times a year by INRA-Transfert to the applicant’s institute. This is a PRE-FINANCE! The costs must be claimed in Form C. The partner is responsible for keeping the bills and tickets in their office. ISS fieldtrips are paid from a special fund for ISS support. Proposals must refer to the research project concerned and its coordinator.

 
Deadlines for ISS calls
The deadlines to submit proposals for ISS travels are:
